Bookings Terms and Conditions

All confirmed bookings are subject to the terms and conditions explained below. Urban Chauffeur cars request a minimum of 24 hours notice for any online bookings. If you would like to book a car with less than 24  hours notice – Please call us on 0412 244 585.

By confirming your booking with Urban Chauffeur Cars, you are agreeing to the following terms and conditions:

Payment and Deposits

Credit card details must be provided when making a booking. For general transfers (airport transfers, point to point transfers) credit card will be charged within 24 hours prior to booking time. For wedding booking and tour transfer booking, a 30% deposit will be taken after the booking is confirmed with the remaining balance due 14 days prior to the booking date. We are accepting Visa, Master and American Express cards.

Any deviations to the original booking price, such as additional waiting time, extra hours, car parking, additional stops and address changes will automatically be charged from the credit card that you provided upon the booking. Please note that Urban Chauffeur Cars has the right to charge the credit card for any monies outstanding.


Prices provided are valid exclusively based on vehicle availability. Requests for specific models are subject to vehicle availability and will incur additional charges. Prices quoted are inclusive of GST. Bookings requiring a baby seat, booster and/or capsule will incur an additional charge of $10.00 per item. Different prices apply for wedding transfers (wedding getaway cars), tour transfers, large special events/days including, but not limited to, AFL Grand Final, Grand Prix, Spring Racing Carnival (Caulfield Cup; Darby Day; Melbourne Cup; Lady’s Day, New Year Eve). We allow 10 minutes grace for pickups from fixed addresses (office; home; hotel; restaurant etc.). Waiting time after will be charged at $1.50 per minute ($2 per minute between 10:30 pm and 5:00 am). For pick-ups between 10:30 pm and midnight a surcharge of $30 applies. For all services between midnight and 4:00 am, a surcharge of $50 applies.

Changes to Bookings

If you wish to make any changes to your booking after the booking has been confirmed, such changes can only be made subject to availability. Urban Chauffeured Cars reserves the right to charge an additional fee in relation to any changes made to your booking.

Extended Times

Please note the booking is time based. Extra time used by the client will be chargeable to your credit card. Surcharges apply for pickup waiting times at Melbourne Airport.

Any diversions from a direct transfer will result in an additional charge

Weddings/Special Events

Any transfer in which bride/bridesmaids/groom/groomsmen are passengers or getaway cars is considered wedding transfers. Any concerts, sporting events are considered special event transfers. It is your responsibility to indicate the correct service type. Should a wrong service be chosen or indicated, you agree to pay any additional charges applied to the supplied credit card post-trip. Bookings made for weddings or special events transfers will require a 30% deposit on the day the booking is confirmed. The outstanding balance is required 14 days prior to the date of the booking. 

Cancellation and Refund Policy

If booking for general transfers is cancelled by the customer within 24 hours from the start of the period of hire, 50% of all monies paid will be non-refundable.

If booking for general transfer is cancelled by the customer within 12 hours from the start of the period of hire, 100% of all monies paid will be non-refundable.

If a wedding booking or tour transfer booking is cancelled within 1 month from the start of the period of hire, the deposit will be non-refundable. If a wedding booking is cancelled within two weeks from the start of the period of hire, the full hire amount will still be charged to the customer.

If the customer does not appear at the time and place designated as the pickup point, all monies paid will be non-refundable.

Major special and business events such as, but not limited to, AFL Grand Final, Grand Prix, Spring Carnival, New Year’s Eve, Christmas Day, Australian Open will incur in 100% cancellation charges of the total cost of the booking whether the booking is cancelled entirely or partially.

Additional Booking Terms and Conditions

Our chauffeurs reserve the rights to refuse/cancel the booking at any point during the transfer if the passenger acts aggressive or intoxicated. Antisocial behaviour will not be tolerated.  If the reservation is cancelled for such reasons, no refund will be issued and the reservation will be charged at the total cost. The company reserves the right to change, update or modify these Terms and Conditions at any time without prior notice. While every effort is made to ensure that bookings are handled with care, the company accepts no responsibility for any unexpected circumstances that cause changes in vehicle availability. The company reserves the right to terminate the booking/hire if any illegal activity is undertaken by the customer and or party while on charter. The customer agrees and acknowledges that the company will retain all monies paid to it and may seek payment from the customer for any damages, loss, costs or fees incurred as a result of the customer’s illegal activity and/or termination of booking/hire.

The driver will drive at safe and sensible speeds in accordance with road conditions, traffic and the legal speed limits. We may provide subcontracted vehicles occasionally. We reserve the right to change your vehicle or chauffeur at any time if necessary. Our chauffeur(s) will travel by the most appropriate route on the day unless instructed otherwise by the customer at the time of booking. Urban Chauffeur vehicle(s) and sub-contracted vehicles are fully insured for passenger and third-party claims. However, customer’s properties are carried entirely at their own risk and Urban Chauffeur not be held responsible/liable for any loss/damage to such property. Urban Chauffeur maintains strict non-smoking policy in all its vehicles.


The customer acknowledges that he/she indemnifies the company and its employees against any loss, consequential or otherwise as a result, direct or indirect or otherwise, of a failure to meet time deadlines. The customer accepts total responsibility to ensure that there is adequate time to travel to and from destinations by the time deadline/s required. Any advice provided by the company or its employees to the customer is to be used only as a guide and the customer accepts this guide may be inaccurate due to unforeseen circumstances including, but not limited to, traffic conditions, poor weather, break downs and overtime. The customer agrees to accept full financial responsibility and unlimited liability for any damage caused to the vehicle by the customer or any members of their/his/her party. No contact with customers (no show) will result in the full amount of the journey being charged. If you cannot contact the driver at the airport, then please contact our office immediately.
